In addition to working closely with SPU Archivist, Adrienne Meier, on collecting the required element data for the collections we will be creating finding aids for, three other key activities occurred this week:
1. Institutional mandate – We met with University Librarian, Bryce Nelson, to discuss and refine a draft institutional mandate document which will be presented to the President for his signature in the near future. The document officially gives the Archives and the Archivist authority to collect and manage institutional records of permanent value. Securing such a mandate is a core element of an archives program. By next week, the finalized document will be posted on the NWDA/NHPRC grant website: http://www.orbiscascade.org/index/nhprc-grant.
2. Program development plan – An initial draft of the plan was discussed with the Archivist and the University Librarian. Discussions and further development of the plan will occur next week with a final draft delivered in mid-March. The framework for the plan is the Society of American Archivists Guidelines for Evaluation of Archival Institutions: http://www2.archivists.org/governance/Guidelines-for-Evaluation-of-Archival-Institutions. The plan will also include a detailed outreach plan, a floor plan for a new archives office/research room, and a detailed list of projects and tasks to be completed by local staff through 2013.
3. Processing workflow – Adrienne and I have begun to craft and tryout a workflow for accessioning, arranging, and describing new materials.
